Start with four documents
- Weekly recap — Done / blocked / decisions needed / risks, each as bullets with links.
- OOO handoff — Who covers what, where drafts live, and what can wait.
- Scope reset — “Here is what we agreed / here is what changed / pick A or B by DATE.”
- Tool access checklist — Accounts, 2FA, VPN, and test tasks to confirm login on day one.
How to keep templates from sounding robotic
Swap the greeting and one sentence of context every time. The structure stays; the humanity comes from specifics.
Tie-in to the data explorer
If “Tools & stack” shows platforms you have not used, add a fifth template: “First week in a new stack”—hour-by-hour notes you will actually fill during onboarding.
